In the last few years we have seen changes in Government along with the broader Information Management community.

Implementation of the new “Right to Information Act” in QLD, the proposed reform to the Federal Freedom of Information Act, amendments to the Federal Courts Practice Note 17, an increase in Public Private Partnerships and increased litigation against both governments and private sector organizations have all focused the spot light on Information Management and the crucial role it plays in supporting governments and business in day to day activities.

The theme for TUF23 is - Changing the Economics of Information Management (IM).

The TUF23 program consists of two streams with bookend presentations on each day.

Stream A: Business Sustainability (Product presentations and demonstrations, Customer Stories, Partner presentations, Business Best Practice and Industry hot topics).

Stream B: Technology Matters (caters for IT Management & Specialists within the Information Management space. A range of presentations and workshops providing face to face access with members of the TRIM development team as well as senior HP TRIM consultants).

2:20pm - 3:00pm HP's Archiving Solutions - Stop Retaining Forever
Presenter: Raymond Lambie, Solutions Architect Information Management, HP

Synopsis

There was a time when people’s entire lives were devoted to finding ways to retain information forever. Be they painted scenes in caves, hieroglyphics carved in stone, structures made of stone, mummified remains, or religious texts transcribed over the millennia, the lure of infinite retention has been one of man’s ambitions since information started being recorded.

Information, an organizations greatest asset, can instantly become its riskiest liability.

As records managers we know that a record must not be deleted before it “expires”, but we also know that a record should be disposed when eligible. So while the rules are simple enough – don’t delete too early, don’t delete too late – are we able to follow them? What if I told you that the majority of your corporate records are actually retained forever? That, the boon of yesteryear’s record preservationist, infinite retention, is the bane of today’s records manager.

That’s a bold statement to make – that somehow, unbeknown to us, the majority of our records are retained forever – let’s take a look at how to address this challenge.

4:35pm - 5:20pm Lock-note: Developing and Implementing Globally Harmonised Software Specifications for Records: The Case of Business Systems
Presenter: Adrian Cunningham, Director Strategic Relations and Personal Records National Archives Australia

Synopsis

Between 2006 and 2008 a joint Australasian Digital Recordkeeping Initiative (ADRI)/International Council on Archives (ICA) project developed globally harmonised statements of requirements for software products used to manage records. The project involved the Australasian Digital Recordkeeping Initiative (ADRI) and experts from ten national archives from other parts of the world. With the proliferation of many jurisdiction-specific statements of requirements (e.g, MoReq and US DoD 5015.2), it was clear to all of the participating institutions that there was a strong need for globally harmonised statements of requirement so that the international archives and records community could speak with one voice to the global software industry and ICT community. In 2009 the ICA agreed to work with the International Standards Organization to submit the Requirements for fast-track balloting as an ISO standard. The Requirements are currently being translated into Chinese, French, Spanish and Catalonian.

This session describes the work of the project team and reviews the aims, content and key messages of the three published modules. In particular, the session focuses on the most 'cutting edge' of the three modules, the Guidelines and Requirements for Records in Business Systems, exploring post-EDRMS implementation issues and scenarios. The paper contends that achieving good recordkeeping outcomes in the digital age requires the inclusion of good recordkeeping functionality in native line-of-business systems and applications, rather than relying on separate EDRMS-type applications, which users and records creators often regard as being burdensome and which are at risk of not an organic part of business processes. In addition, the session will explore the development of scenario-based implementation guidance for the ICA Requirements that is the focus of a new ICA/ADRI project that will run from 2010 to 2012.

Customer Presentation: Information Management Evolution Case Study: NSW Department of Corrective Services
Presenter: Peter Konstantin, Director Information Management

Synopsis

It wasn't until I went to the RMAA Convention in Adelaide last year that I heard the term Informatics. The presentation by Dr Gillian Oliver struck me as relevant to the experience of Corrective Services NSW.

Although my intellect and eloquence falls short of doing justice to the broader message of the presentation and subsequent collaborative articles, I was impressed by the recognition of the need for a more flexible/adaptable and process-oriented approach to managing records.

The similarities of our experience with any legitimate science like Informatics is largely coincidental, even accidental. However, it may be interesting to hear how when presented with a "simple" records management compliance issue, we quickly outgrew it, replacing it with a bigger headache - a broader and more strategic approach to shaping information flow through the organisation. I would like to share with you our very practical experience that started and is still underpinned by the use of TRIM but is looking to integrations with line of business systems for a complete business solution.

We're nowhere near where we need to be yet and the more we educate the business, the more they tell us they need.....but I think this is a good thing if appropriately managed, much better than not having them engage at all.

12:20pm - 1:00pm Presentation: Capturing information from social networks – is it worth it?”
Presenter: Marcus Amann, Technical Publications Manager for HP TRIM

Synopsis

Does the mere mention of social networking make you roll your eyes? It does for a lot of people who value their privacy and believe that these tools only attract those who seem overly pleased with themselves. A recurring criticism of social-networking sites is that they are forums for narcissists demanding the world's attention.

But let's look at what's happening. Nielsen Online reports that social networking (and associated blogging) is now the fourth most popular online activity, ahead of personal e-mail and behind only search engines, general-interest portals such as MSN, Yahoo and AOL, and software downloads. Time spent using social-networking sites is growing at three times the rate of overall Internet usage, accounting for almost 10 percent of total time spent online. Well-known companies are now using social networking sites to offer alternative customer support, react to customer feedback and attract more followers through promotional efforts.

In this presentation Marcus Amann will show-case examples of how businesses are using social networks which might very well stop an information manager in mid-eye-roll and ask how this information could be captured in their records management system.
